How to reply to Reddit mentions as a brand without getting banned

To reply to a Reddit mention of your brand without getting banned, read the subreddit's rules first, say you work for the brand, answer the thread's question, and post one reply from your own account. What gets a brand's account suspended on Reddit, according to its rules?

Reddit's rules ask you to follow the rules of each community you take part in, to participate authentically, and not to mislead anyone about who you are. Two of the eight rules that apply on every community cover a brand's reply directly:

Under Enforcement it lists, among other measures, "Removal of content" and "Temporary or permanent suspension of accounts". Open the subreddit and read its rules and its sidebar, the panel that describes the community. A subreddit's rules can limit links, self-promotion or posts from company accounts, and a reply that breaks one of them can be removed even when it is polite and useful.

Look for three things: whether links to your own site are allowed, whether anything is said about companies or vendors answering, and whether the community has a weekly thread for promotion, or a flair (a label added to a post) that marks a post as promotional. If the rules forbid what you were going to write, change the reply or leave the thread alone. If they are unclear, send the moderators a short message asking whether a reply from someone at the company is welcome.

Step 2: Decide whether the mention is worth answering

Answer the threads where you can help, and leave the rest. A brand mention is any post or comment that names your brand, and they differ a great deal. Reply when someone asks which product to use, as long as you say who you are, and when someone reports a fault with your product, and do it soon. Reply when a thread says something factually wrong, correcting only that fact, and when your brand is named in a comparison, if you can add something the thread lacks. Skip resale listings and job posts, and rarely reply to a passing mention.

Step 3: Say that you work for the brand

Put who you are in the first line of the reply. Rule 5 asks you not to mislead others, and a reply praising a product from someone who works there, with no mention of it, does exactly that.

A plain opening works: "I work at Acme, so I'm biased, but here is how the export works." If you founded the company, say so. If the account you reply from is a company account, its name already says it, and the first line can go straight to the answer.

Reply from an account that is clearly yours. Writing from a second account, or asking a friend to post the praise for you, misleads people in the way Rule 5 forbids, whatever the reply says.

Step 4: Answer the question that was asked

Write the answer to the thread's question before anything about your product. If someone asks how to export their data, explain how to export it. If they compare two tools, say what yours does on the point they raised, and say plainly where it does not do what they need.

Add a link only when it answers the question, such as a help article for the exact step, and only when the subreddit's rules allow links.

When the thread says something wrong about your product, correct that one fact and leave the opinions alone. A complaint is answered best by showing that a person at the company read it and by saying what you will do.

Step 5: Post one reply and stay in the thread

Post one reply. If people answer you, answer them in the same thread. A second top-level reply (a reply to the post itself rather than to a comment) from the same account, or the same reply posted across several threads, is what Rule 2's "do not spam" is about.

Leave the votes to the community. Rule 2 asks people not to engage in content manipulation, so do not ask colleagues to upvote your reply or to post in support of it.

What a good first week of replying looks like

In the first week, write fewer replies than you expected to, and keep a note of which communities allow links and which do not.

Reply where you can answer a question, and read how the thread answers you. When people thank you for the detail, write the next reply the same way.

What to do when your Reddit reply is removed, called advertising or argued with

When a reply goes wrong, find which of four cases you are in: it was removed, people say you are advertising, the thread turns against you, or the subreddit does not want company replies at all.

Your reply was removed. Read the subreddit's rules again and find the one it broke. If none seems to fit, send the moderators a short, polite message asking what to change. Do not post the same reply again.

The thread turns against you. Reply once, as yourself, and stick to the facts. Do not reply again to keep the argument going. Other people can read and quote whatever you write.

Where do I find a subreddit's rules?

A subreddit's rules sit beside its description, in the sidebar of the subreddit's page. Reddit's rules say each community is shaped by its own rules, enforced by its moderators, so read them before replying. Look for limits on links, self-promotion and company accounts. When the rules are unclear, send the moderators a short message and ask.

Can I post a link to my product in a Reddit reply?

A link is fine when the subreddit's rules allow it and the link answers the question, such as a help article for the exact step someone asked about. A subreddit can set its own limits on links and self-promotion, so check its rules first. When in doubt, answer in the reply itself and leave the link out.
